Workspace Studio vs Apps Script vs AppSheet

Three ways to automate Google Workspace from inside Google: a Gemini flow builder, a code platform, and a no-code app builder.

← All comparisons

Use Workspace Studio for quick no-code flows across Gmail, Chat, Drive and Sheets, AppSheet when you need a data-backed app with forms and roles, and Apps Script when the logic needs code, tests and scheduling control. Evenops builds on all three and picks per workflow. Facts checked against Google's pages on 11/10/2026.

Criterion by criterion

CriterionWorkspace Studio / AppSheet (no-code)Apps Script (code)
How you build itStudio: describe a flow in plain language and Gemini drafts it from prebuilt steps. AppSheet: configure an app on top of a spreadsheet or databaseWrite JavaScript in a browser editor; scripts run on Google's servers
Best atStudio: triage, summaries, approvals and notifications that start from a Gmail, Chat or Drive event. AppSheet: mobile-friendly data-entry apps with views and role rulesCustom logic, batch jobs, sheet-as-database tools, and glue between Workspace and outside APIs
Edition and cost basis (checked 11/10/2026)Studio: generally available on Business and Enterprise Workspace plans. AppSheet Core: included per domain-verified user on most paid editions (Business Starter, Standard and Plus, Enterprise, Frontline and others); other editions buy it as an add-onGoogle's overview page states no separate price; the quotas differ between consumer and Workspace accounts
Published limits (checked 11/10/2026)Studio: up to 25 flows per user, 20 steps per flow, a per-user daily run cap (Google states no number), and Google says limits may change. AppSheet: the pricing page says up to 10 test users are free for prototyping, and beyond that each user needs an AppSheet licence to use a shared app, which many paid Workspace editions include as AppSheet Core6 minutes per execution; total trigger runtime 6 hours a day on Workspace accounts (90 minutes on consumer); 20 triggers per user per script; 30 simultaneous executions per user
Reaching outside WorkspaceStudio: prebuilt connectors and webhooks, with Apps Script or HTTP add-ons for custom steps. AppSheet: data-source connections that vary by planUrlFetchApp to any HTTP API, plus Google's advanced services, within the daily fetch quota
Testing, versioning and reviewEdit and rerun in the product; no real code review or automated testsCode can live in Git with clasp, be reviewed and tested; you decide the release process
Who can maintain it laterA capable non-developer can usually adjust a flow or appSomeone comfortable reading JavaScript; well documented code needs attention rarely

Which one is right for you

When Apps Script (code) is the right call

Pick Apps Script when the logic branches, runs on a schedule you control, calls outside APIs, or has to survive review and testing. It is also the extension point: Studio custom steps can be built with Apps Script, so the two are not rivals. It is the wrong tool for heavy compute or high concurrency.

When Workspace Studio / AppSheet (no-code) is the right call

Pick Workspace Studio when a simple event should trigger a few steps, and AppSheet when people need a proper app on top of a sheet. Both suit teams who want to own and tweak it without a developer, and both are already covered by many Workspace plans.

Common questions

Is Workspace Studio the official name?
Yes. Google announced Google Workspace Studio on 3 December 2025 (workspaceupdates.googleblog.com/2025/12/workspace-studio.html), and workspace.google.com/studio says it is an evolution of the capabilities released in alpha as Google Workspace Flows. It is where you create, manage and share agents and flows in Workspace. Checked 11/10/2026.
Which Workspace plans include Workspace Studio and AppSheet?
Google lists Workspace Studio as available on Business Starter, Standard and Plus and Enterprise Starter, Standard and Plus, plus selected Education plans, and admins can switch it on or off by organisational unit. AppSheet Core licences come with a longer list of paid editions, and other editions can buy it as an add-on. Plan lists change, so confirm yours in the Admin console. Checked 11/10/2026.
Can Apps Script and Workspace Studio work together?
Yes. Google documents building custom Studio starters and steps with Apps Script or an HTTP add-on, so a flow can call code you control. Check Google's current docs for the availability of custom steps on your domain before planning around it. Checked 11/10/2026.
What are the limits I should plan around?
Studio: 25 flows per user and 20 steps per flow, plus a daily run cap whose number Google does not publish. Apps Script: 6 minutes per execution and 6 hours of total trigger runtime a day on Workspace accounts. All of these can change. Google's own pages have shown different per-user flow limits (an older admin guide said 100); the current limits page says 25 (support.google.com/workspace-studio/answer/16765942), so check the live page before committing a design. Checked 11/10/2026.
Which one should we start with?
Start with the smallest tool that fits: a Studio flow for a simple notification or triage, AppSheet for a data-entry app, Apps Script once you need schedules, outside APIs or tests. If a workflow outgrows its tool, the logic moves across; it is a migration, not a restart.
Where do these facts come from?
Workspace Studio: workspaceupdates.googleblog.com/2025/12/workspace-studio.html, workspace.google.com/studio and support.google.com/workspace-studio/answer/16765942. Apps Script quotas: developers.google.com/apps-script/guides/services/quotas.
