One record per thing

Test 1One record per thing

A customer, product or supplier exists once, and records are matched by a stable ID, not by name.

Are customers, products or suppliers matched across your systems by an ID rather than by name?

Is it impossible, or at least rare, for two rows to describe the same customer, product or supplier?Think Acme Supplies Ltd, ACME Supplies and Acme Suppl.

Is there one system you treat as the record of truth for each kind of thing?

Known freshness

Test 2Known freshness

Every table carries its own age, and a stale one raises an alert instead of feeding an answer.

Does each table or report show when it was last updated?

Does the data reach your reports automatically, with no one running a manual export first?

Would you be alerted if a feed went stale or stopped arriving?

A named owner

Test 3A named owner

When a field goes blank or a feed stops, a specific person hears about it.

When a feed stops or a field goes blank, does a specific person hear about it?

Is that person alerted automatically, rather than finding out when someone complains?

Is ownership of each data source written down somewhere your team can find it?

Traceable answers

Test 4Traceable answers

You can show the row behind any answer, and automated decisions leave a log.

Can you point to the exact source row behind any number in a report?

Is there a log of what automated steps changed or decided, and when?

Could someone outside your team (a customer or an auditor) follow an answer back to its source?

Answer all twelve to see your result. Nothing is sent anywhere until you ask for the email.

How this is scored

Each answer scores 2 for yes, 1 for partly, 0 for no, so a test is worth 6. A test passes at 5 or more with no outright no; anything else is a gap. You get "ready for an AI step, with checks" only when all four tests pass, otherwise it is "pipeline first". It uses only your answers, runs in your browser, and is a starting read, not an audit. The four tests come from our post AI-ready data: four tests before you add an AI step.
